Last updated: 22 September 2026

Hello Grooming respects your privacy and is committed to being clear about how we use personal information. This privacy policy explains what information we collect, why we use it, who we may share it with, how long we keep it and the rights you have in relation to your personal information.

Who is responsible for your information?

For the purposes of UK data protection law, the controller is Nicola Grundy, trading as Hello Grooming.

You can contact us about privacy or your personal information at:

What personal information we collect

Depending on how you use our website and services, we may collect information such as your name, email address, telephone number, postal address, information you include in an enquiry or booking request, appointment or service information, correspondence with us, and technical information generated when you use our website.

Where it is relevant to the service you ask us to provide, we may also collect information about your dog, such as their name, breed, age, grooming or care requirements and information you choose to provide about their health, behaviour or temperament. Information about an animal is not normally personal data in itself, but it may form part of a record that identifies you as the owner or customer.

How we collect personal information

We may receive personal information directly from you when you contact us, complete a website form, request or make a booking, telephone or email us, or otherwise deal with us. We may also receive information through service providers used to operate our business, such as our booking platform, and through website technologies where their use is permitted.

Why we use personal information and our lawful bases

Enquiries and pre contract steps. We use information you provide to respond to enquiries, provide quotations and take steps you ask us to take before entering into a contract. The lawful basis is that the processing is necessary to take steps at your request before entering into a contract.

Providing services and managing bookings. We use customer and booking information to provide agreed grooming services, manage appointments, communicate about the service and administer the customer relationship. The lawful basis is performance of a contract.

Payments and financial records. We use relevant information to take or record payments, deal with refunds and maintain accounting and tax records. Depending on the activity, the lawful basis may be performance of a contract or compliance with a legal obligation.

Customer service and business administration. We may use relevant records to answer questions, deal with complaints, protect our business, keep appropriate records and improve the way we operate. Where appropriate, the lawful basis is our legitimate interests in running the business properly.

Legal and safety requirements. We may use information where necessary to comply with a legal obligation, establish or defend legal claims, prevent fraud or protect the rights and safety of people and the business, where permitted by law.

Who we share information with

We use trusted suppliers to help operate the business and website. These are:

  • Lovable — website hosting and delivery.
  • Pawsuite — the enquiry and booking form used on our contact page.
  • Google — our business email, the map shown on our website and our Google Business Profile, where reviews we display are published.
  • Our accountant and professional advisers, where relevant to our records.

We may also disclose information where required by law, to regulators or public authorities where legally required, or in connection with the establishment, exercise or defence of legal claims.

Third party booking system

If you use our online enquiry and booking form, information you submit is processed through Pawsuite. The provider's own privacy information may also apply when you use its service.

Payments

We do not take payments through this website. Payment for grooming appointments is arranged directly with us.

International transfers

Some of our suppliers may process personal information outside the UK. Where this happens, we take the steps required by UK data protection law to ensure an appropriate safeguard or other lawful transfer mechanism is in place.

How long we keep information

We keep personal information only for as long as reasonably necessary for the purpose for which it was collected and to meet legal, accounting, tax, insurance or dispute resolution requirements.

Enquiries that do not become bookings are kept only while they may still be relevant to a follow up. Customer and grooming records are kept for as long as you remain a customer and for a reasonable period afterwards. Financial and tax records are kept for the period required by HMRC.

How we protect information

We use appropriate technical and organisational measures intended to protect personal information against unauthorised access, loss, misuse, alteration or disclosure. No internet based system can be guaranteed to be completely secure, but we review the measures appropriate to the nature of the information we process.

Your data protection rights

Depending on the circumstances, UK data protection law may give you rights to ask us for access to your personal information, to correct inaccurate information, to erase information, to restrict processing, to receive certain information in a portable format, or to object to particular processing. Where processing is based on consent, you can withdraw that consent without affecting processing that was lawful before withdrawal.

Not every right applies in every situation. To exercise a right, contact us using the details above. We may need to confirm your identity before acting on a request.

Complaints

Please contact us first if you have concerns about how we use your personal information so that we can try to resolve them.

You also have the right to complain to the Information Commissioner's Office, the UK's data protection regulator. Current contact and complaint information is available at ico.org.uk.

Cookies and similar technologies

Our website uses a small number of technologies that store or access information on your device. Our Cookie Policy explains these and the choices available to you.

Changes to this policy

We may update this privacy policy from time to time. The version published on this page applies to your use of the website.
